DoseEdge is a software system intended to improve and document workflow in your pharmacy, and help in reducing opportunities for errors. While the software can provide guidance that assists the pharmacist or technician in proper preparation of IV admixtures and oral doses, it cannot, and does not, make any decision regarding dose preparation or assure that the personnel use correct technique or prepare doses in the proper order. Overview

After you have installed your hardware, you are now ready to configure DoseEdge to reflect your work environment.

During the configuration phase, you will:

·         Configure your site, each location and each workstation.

·         Configure the flow of batches from your pharmacy information system.

·         Set up groups and users.

·         Set up email notifications.

You can also configure these optional features:

·         Task schedule

Configuring a Site

A site is a collection of locations where DoseEdge Workstations are used. It is the largest entity that DoseEdge recognizes. In most cases, your site is a hospital. In some cases, a site may be comprised of several hospitals in a region.

The DoseEdge situation board shows the current status for a site (including all of its locations and workstations). Each site can be viewed by all other sites on the network.

To determine how to fit your facility into the DoseEdge architecture of sites and locations, consider how you want information to appear on the situation/status board.

You can set up the system information for each site (such as name, address, and site specifics) on the DoseEdge Management Site.

As part of the installation of DoseEdge at your site, you need to perform a set of configuration tasks. The settings you choose determine how DoseEdge performs and how technicians and pharmacists interact with the system.

How do I configure a site?

1.     Log in to the DoseEdge Management Site.

2.     At the DoseEdge Management Site, click Site Configuration in the Site Configuration section.

4.     Complete each section of the form.

5.     When finished, click Save.

6.     To change a site configuration, select the site from the list, make any changes, then click Save.

7.     If any of the site’s workstations are logged in, log out and then back in for the changes to take effect.

Security Settings

Default is 90. For the password to never expire, set at 0.

Two-Factor Authentication

Authentication Interval
(0–15 minutes)

The authentication interval is the duration of time that an authentication is valid before re-authentication is required. The default value is 0, which means that authentication will be required each time.

Two-factor authentication Web page URL

This URL is the full location of the web page displayed for authentication, usually an address on the local server. The default is blank, which means authentication is not required. To enable RSA two-factor authentication, use this URL: /csp/security/RSALogin.csp

Two-factor authentication service URL

This optional URL is the address of the service used by the two-factor authentication web page to authenticate the user. Leave blank if you’re using RSA authentication.

 

 


SMTP Settings

Enter information in the fields. Use this table to determine each field’s entry. Click Send Test Email to check your entries.

These values must be updated after installation.

SMTP Server Address

IP address or server name of the SMTP mail server to be used when sending email notifications.

SMTP Server Port

TCP port for the SMTP mail server. Default is 25.

From Address

Email address that will be the “From” address for outgoing email notifications from the system.

Default To Address

The “To” address that will be used for email notifications sent by the system if none is specified by the notification type.

SMTP Authentication UserName

User Name required for authentication to the SMTP server, if necessary.

SMTP Authentication Password

Password required for authentication to the SMTP server, if necessary.

The License Key for the local DoseEdge server is used for accessing and backing up to the central server.

Once set, it should never be changed.

Do NOT enter a License Key if you are installing a test or backup DoseEdge server.

Report Service URL

The Report Service URL is the address of the service that authenticates users so they can access reports from their local server to the DoseEdge central server.

Do NOT change it.

For your reference, the address is usually https://central.DoseEdge.com/csp/ifrxcentral/

The Central Report Main URL is the address of the location of the reports on the DoseEdge central server.

Backup Pause Seconds

The Backup Pause is the number of seconds (usually 1) to pause between a set of backup transactions (the backup process runs every hour).

You should change this only if you are trying to manage the amount of bandwidth used.

Backup Pause After Tx

The Backup Pause After Tx is the number of backup transactions/records (usually 500) to be completed between pauses.

You should change only this if you are trying to manage the amount of bandwidth used.

Retry Backup Attempt in Seconds

The Retry Backup Attempt is the number of seconds (usually 60) between backup retry attempts following a failed backup attempt.

You should change this only if you are trying to manage the amount of bandwidth used.

 

Purge Settings

Days to Keep Local Data

The Days to Keep Local Data is the number of days (between 45 and 90) data should be retained on the local server.

This value impacts the amount of disk space needed on the local database server.

Purge Frequency (hours)

When data has aged greater than the value entered in Days to Keep Local Data, DoseEdge removes it from the local server. The Purge Frequency is the number of hours (usually 24) that pass before DoseEdge checks for data to be removed.

You do not need a value here if you enter a Purge Time of Day.

Purge Time of Day (HH:MM)

When data has aged over the number of Days to Keep Local Data, DoseEdge removes it from the local server. You can specify a time when DoseEdge should check for and remove aged data.

You do not need a value here if you enter a Purge Frequency.

Proxy Server Settings



Field

Description

Internet Proxy Server

If you connect to the Internet though a proxy server, enter the IP address and host name of the proxy server used to connect to the central server for backup.

Internet Proxy Port

The Internet Proxy Port is the IP port number used by the backup service to connect to the central server.

Use Backup Proxy Tunnel

Check this option if you want to use a secure tunnel connection to the proxy server.

Use Backup Proxy SSL Connect

Check this option if you want to use SSL encryption for the proxy tunnel.

 

 


Situation Board Dose Order Summary Settings

You can configure the bar charts (up to five) for the situation board for this site. Each bar chart displays information about the current queue:

·         Doses waiting to be filled

·         Doses in process (being prepared)

·         Doses already filled and awaiting approval

In the default configuration, the first bar chart displays information about all doses currently in the queue (Total) while the other bar charts display filtered information: STAT, First, Wait and Hazmat (hazardous drug) doses.

You can change the caption that appears below each bar chart. With assistance from Baxa Technical Support, you can also change the filter used for each bar chart

You can change the way information is displayed via the bar chart. For the Bar Chart Display Type, select:

·         Percent: The Pending, In-Process and Verification dose orders are shown as a percentage of the current doses. The bar always totals 100% with only the percentages changing and disappears completely when there are no qualifying doses.

·         Counts/Stacked: The Pending, In-Process and Verification dose orders are shown according to quantity in a single bar.

The scale of the chart will vary according to the number of doses. In some cases where the number of Total doses is high, the other bars (STAT, First, Wait and Hazmat) may become difficult to read. Eliminating the Total bars may make the other bars more legible.

·         Counts/Side-By-Side: The Pending, In-Process, and Verification dose orders are each shown according to quantity in their own bar.

Workstation Settings

The Workstation Settings apply to all workstations at the site.

Report Path

The Report Path is the UNC file path to the location on the local database server where the Crystal Report files are stored on your DoseEdge server, such as \\localservername\IntelliFlowReports\Reports\.

Workstation Auto Logout Time (Minutes)

The Workstation Auto-Logout Time is the number of minutes the workstation must remain idle before the user is automatically logged out. This can be any value or 0 if you don’t want the workstation to automatically log out at all.

Performance Log Intervals (Minutes)

The Performance Log Interval is the number of minutes that should pass between writing to the performance log, which reports statistics from the workstation to the local server and Baxa.

Baxa recommends leaving this value at its default.

Workstation Version

The workstation version is automatically set by the server installer or upgrade program. The version is checked at each login and, if there is a newer version, the user is prompted to install the update automatically. You should never need to change this unless you are deploying a newer workstation version without upgrading the server.

Workstation Installer Path

The path is automatically set by the server installer or upgrade program according to the workstation version. You do not need to change this unless you are deploying a newer workstation version without upgrading the server.

Field

Description

Expiration hours for WAIT dose status

This value is used to indicate a dose with a short expiration time. Any dose containing a drug whose expiration time (in hours) is less than this number will automatically be treated as a WAIT dose. That means it will not be queued for preparation automatically, but instead will be held until the system clock indicates that the dose, once prepared, will not expire until after it is due to be administered.

Dose orders containing these drugs are considered wait doses and placed in their own queue at workstations and appear separately on the situation board.

Dose orders containing drugs with longer expirations than this value are never considered Wait Doses.

To calculate this value, divide 24 by the number of batches in your production day.

For example, if you have three batches per day, then a dose that expires in less than 8 hours is likely to need to be held until the system clock reaches 8 hours before the scheduled administration date and time.

Description

Minutes before admin time to promote to STAT

DoseEdge can identify a dose that is approaching its scheduled administration time. The priority of the dose is automatically increased to ensure it is delivered on time.

This value is the number of minutes before a dose’s scheduled administration date/time at which its priority will be escalated if it is still pending preparation.

To use this feature, indicate the number of minutes at which the dose should be escalated from routine to STAT if it is still pending.

To turn this feature off, enter 0.

The most common value is 60 minutes. This means that a dose will automatically be escalated to STAT when the system clock reaches 60 minutes before the dose’s scheduled administration time.

Set First Dose based on batch/admin times

DoseEdge can detect that a dose is a First Dose, based on its administration time for the batch. Essentially, DoseEdge escalates the priority of the dose to that of a first dose.

If you use this feature, DoseEdge will compare the administration date/time of each dose to the current batch production schedule and the system clock. The priority of the dose will be escalated if it is due before the batch currently in preparation is due to be delivered.

Allow dose BCMA barcode for ScanEvent Tracking

Check this if the BCMA (Bar Code Medication Administration) bar code on the incoming dose label is always unique across all doses in the system. If so, it may be used for ScanEvent tracking.

The bar codes used for BCMA are not always unique for each dose, but rather for each order, which may produce several doses. Set this flag only if you are certain that each and every BCMA bar code on each and every dose is unique.

Automatically Discontinue Dose

Description

DC Label Matching Field List

Some pharmacy systems print a special type of label to alert the IV room/prep area that a dose has been discontinued (DC). DoseEdge can detect this kind of label and place the DC orders in their own special queue. DoseEdge can also look for pending dose orders that match specified fields on the DC label and automatically delete them.

If your pharmacy information system does not produce DC labels, or if you prefer not to use automatic order deletion, leave this field empty.

If you want DoseEdge to automatically discontinue a pending order if the contents of its fields match the contents of fields on the DC order, enter the field names that must be the same on both labels.

DC Method

If you specify field names that must match on the dose label and the DC label for automatic discontinuation, there are two operating methods to choose from.

·         DC first matching dose order only: The first order found that matches the DC label will be discontinued.

·         DC all matching dose orders: ALL doses orders found that match the DC label will be discontinued.

Automatically Place Dose on Hold

Put missing admin time doses on hold

Check this if any dose lacking an administration time should be placed on hold until an authorized user enters an administration date/time.

On-hold Drug Category List

In your formulary, drugs can be assigned to drug categories. Here you can identify which categories, if any, contain drugs that must immediately be placed on hold until they are released.

When in use, the dose must then be manually removed from the hold list.

Description

Max Rounding Error Percent

Where people tend to be subjective in evaluating volumes, computers are not. Example: You might consider a volume of 0.001 mL to be effectively 0, whereas a computer would view it as a legitimate value. The Max Rounding Error Percent helps DoseEdge compare two dissimilar values and perceive them as similar. This is useful in overcoming slight differences in fluid volume that may arise because of rounding errors.

Example: A dose that requires 0.457 mg of a 1 mg/mL concentration might be rounded by a pharmacy system to a volume of 0.46 mL where the computer would compute the same volume as 0.457 mL, a difference of 0.6%. A Max Rounding Error Percent of 1% value would let DoseEdge accept the dose as complete and not request an additional 0.003 mL of diluent to bring the volume to 0.46 mL.

To determine an appropriate percent, look at a variety of labels that contain rounding errors and determine what percentage error would permit them to be considered acceptable.

A common percent is 1.

Smallest allowed measured volume (mL)

This value establishes a standard of practice for your pharmacy that says you will not attempt to measure volumes smaller than this amount if there is a more dilute product available that will permit a more accurate measurement.

This rule is enforced only if there is an alternative product at a lower concentration defined in the formulary that could be used to prepare the dose. If there is no alternative, then the selected product is allowed, even if below the set volume.

What is the smallest volume that you will permit a technician or pharmacist to attempt to measure if there is a more dilute preparation available or that can be mixed?

The accuracy of disposable syringes is set by ISO 7886-1 that indicates that a syringe is considered accurate if it is within ±4 - 5% when delivering volumes at or greater than half the measurable volume of the syringe.

The error rates increase significantly for volumes measured at less than half the volume of the syringe as the volume declines to the point where, at 10% of the volume of the syringe, the error rate reaches nearly 20%.

This means that you cannot accurately measure a volume of 0.1 mL (10% of 1 mL) and only have acceptable accuracy for volumes of 0.5 mL or higher. The Smallest Allowed Measured Volume is usually set to 0.1 mL.

If you set the Smallest Allowed Measured Volume to a non-zero value, then:

·         When a new product is scanned in, the dose volume to be taken from that product is computed,

·         DoseEdge prompts the user to select a different, more dilute product if a) the dose volume is less than the value in this field and b) there is another, more dilute product available.

Example: If you need 1,000 units of heparin sodium and you scan a 10,000 unit/mL vial, DoseEdge will detect that there is a 1,000 unit/mL alternative and prompt you to use it.

Allow dilutions to be ordered at the workstation

Can dose orders be placed as stock doses or as reconstitution/preparations at the workstation?

If this option is not checked, then the technician at this workstation cannot order preparation of a dilution.

Volume Display Precision

You can choose two or three digits after the decimal for volumes that appear on the screen. Two digits is the most common selection.

Allow Final Verification During Dose Preparation

Select this option to allow final verification of the dose at the PrepStation immediately after the dose has been prepared. All dose types are included in this option.

Allow Final Verification During Inline Verification

Select this option to allow final verification of the dose at the same time as the inline verification.

Dose Sorting Settings

The dose sorting options determine how doses are handled and affect how technicians and pharmacists handle doses prepared via DoseEdge. Most importantly, it defines when doses are labeled (and re-labeled). Errors in labeling can cause patient medication errors.

A verification label is a new label that covers all or part of the original label to indicate that the dose has been checked by a pharmacist. If your state pharmacy laws require that the name or initials of the checking pharmacist be on each label, you will need to print one of these labels at sorting.

If you want to print a verification label during the sorting process (after the dose is checked by the pharmacist), you need to select the method to be used to sort a dose and then verify that the label was properly applied to the dose.

If you are tracking ScanEvents, make sure the Dose ID bar code is visible on the dose label.

1.     Select a Dose Sorting Method.

 


 

The three dose sorting methods are:

·         Dose ID: The verification label is printed when the Dose ID bar code is scanned. No other scanning is required.

Baxa recommends that both the Dose ID and the Order ID bar codes be placed on the dose label with NO bar code on the verification label.

IMPORTANT! With this option, there is no automated check to be sure you applied the label to the correct dose.

·         Dose ID + Order ID: The verification label is printed when the Dose ID bar code is scanned. The verification label should be applied to the dose, then the user is prompted to scan the Order ID bar code to confirm.

Baxa strongly recommends that the Dose ID bar code appear only on the dose label and that the Order ID bar code appear only on the verification label. This ensures that the verification label is applied properly.

·         Dose ID + Order ID + Order ID: Select this option if the dose label contains both the Dose ID and Order ID bar codes and the verification label contains only the Order ID bar code. The verification label is printed when the Dose ID bar code is scanned. Then, the user is prompted to scan the Order ID bar code on the dose label and the Order ID bar code on the verification label to ensure they are identical.

A batch is a set of patient-specific dose orders received from the pharmacy information system for preparation in a given time-frame.

Use these instructions to set up when batches are processed through the pharmacy.

1.     At the DoseEdge Management Site, click Batch Info in the Site Configuration section.

2.     If any batches have been previously configured, they appear on the Batch Info page.

3.     To set up a new batch, click New.

To revise an existing batch, remove the batch from the list and create a new batch to replace it.

Configuring a Location

At each site, there may be more than one place where DoseEdge is used. Example: The main IV room is considered a location within a site with other IV rooms, oral prep areas or satellite pharmacy facilities also being locations in the same site.

Each location consists of one or more DoseEdge Workstations. Example: A location may be the central pharmacy with several workstations, or it may be a single workstation at a satellite location.

The situation board shows the current status of all locations (and workstations) for a site.

You can configure each location (such as name and other specifics) on the DoseEdge Management Site.

Configuring a Workstation

A workstation is used for dose preparation, report printing, or dose sorting/distribution. Each workstation usually consists of a touchscreen PC, label printer, barcode scanner, camera and foot pedal.

A workstation is often thought of as being part of a hood, biological safety cabinet or barrier isolator. However, if two technicians often work at one of these at the same time, then two workstations are needed at that hood.

Not all dose orders can be filled at all workstations. Dose orders prepared from hazardous drugs can be prepared only at a workstation designated as suitable for handling hazmat orders by a technician who has been trained and set up in the DoseEdge system to do so. Similarly, non-hazmat dose orders cannot be filled at hazmat-enabled workstations.

You can view the status of workstations using the situation board.

You can view each workstation’s service tasks by using the Scheduled Tasks page.

You can configure each workstation (such as name, hazmat flag, and other specifics) on the DoseEdge Management Site.

5.     You can set up a filter so only doses that should be prepared at any workstation are sent there.

Each workstation has queue buttons that, when selected, display a subset of doses. Example: The STAT button shows only STAT doses in the queue.

Three queue buttons can be configured as you like for each workstation. (This is optional; you can leave the buttons unused, if you like.)

To use a queue button, you must name the button and define the criteria for the doses to be displayed. Using this information, Baxa will construct a query that creates this view of the queue.

The criteria used to select the appropriate doses for each queue must be available from the incoming print feed. In some cases, the label parsing script may need to be changed to ensure that the selection criteria are available.

Oral (liquid) doses can be prepared at this workstation. Other types of doses can be displayed in the queue, but not prepared.

Chemo PrepStation

Chemotherapy and other hazardous doses can be prepared at this workstation. Other types of doses can be displayed in the queue, but not prepared.

Admin Workstation

All dose types are shown at this workstation for administrative purposes, such as cancelling/discontinuing doses, viewing or monitoring the queue and printing reports. To prevent certain dose types from appearing, uncheck them below.

SortStation™

All dose types are available at this workstation for sorting and distribution from the pharmacy. To prevent certain dose types from appearing, uncheck them below.

 

 

 


Setting Up Tasks

You can set up a task for when certain tasks must be completed at each workstation. A list of tasks appears when a user logs in to the workstation. Complete the tasks before using the workstation.

If a task becomes due while the workstation is in use, it appears on the task list. Click Tasks to see the tasks that are due.

A task is a procedure to be performed at a workstation at particular time or at a particular interval. A procedure is made up a set of actions.

Some procedures are set up for you and you can create your own.


 


How do I set up a task?

1.     At the DoseEdge Management Site, click Task Schedule in the Workstation Configuration group.

3.     To establish a new task for a workstation, click New.

a.     Select a Workstation.

b.    Select a Procedure.

c.     Enter how often the task should be performed as the Frequency Value and select the unit of measure as the Frequency Type.

d.    The last time the task was performed is automatically filled in for you as the Last Completion Date Time.

If is not filled in and you know the last time the task was performed, enter the date and time (optional) in this format:

4.     Click Save.

5.     To change tasks, select the workstation and task from the list, make any changes, then click Save.

6.     To delete a task, select the workstation and task from the list and click Delete. Confirm the deletion.

Queue filters are used to separate out orders on the dose queue. These filters are selectable from a dropdown that appears above the queue filter buttons to the left of the dose queue. After you set up the filter, configure one or more locations to use it.

Setting Up a ScanEvent™

A ScanEvent is a configurable set of defined events (or locations) where doses or products can be scanned to log the location of the dose. Examples:

·         The dose departs from the pharmacy

·         The dose is received at a patient care location

·         The dose is returned to the pharmacy

·         The product is stored at the pharmacy

·         The product is disposed of at a workstation

A set of default ScanEvents is provided for you. However, you can change, activate, or deactivate ScanEvents as well as create new ones.

You can track ScanEvents at the workstation or the Management Site.

How do I set up a ScanEvent?

1.     At the DoseEdge Management Site, click ScanEvents in the Site Configuration section.

An unassigned product label is a serialized barcode label printed for future identification of an as-yet undetermined WIP product. It is used most frequently to label source containers in preparation areas that do not have a label printer, such as inside barrier isolators or for kitting where some drugs are stored in the clean room. When an unassigned product label is scanned as a product for dose preparation, DoseEdge prompts for a product NDC code to be scanned. The unassigned label will then be associated with that product.

Creating or Changing a Label Profile

A label profile is a configurable set of label designs and associated printers to be used when printing labels. These can be ‘scripted’ on an individual dose basis with the Label Processor, allowing different doses’ attributes to control which printers and which label formats are used for printing the label.

Note that the same label design may be used to print labels in multiple scenarios for labels of the same type (dose, product, etc.).

How do I create or change a label design?

1.     At the DoseEdge Management Site, click Label Profiles in the Workstation Configuration group.

·         The printer name is optional. Enter a printer name only if you want to override the default printer for the label type.

·         To specify a remote network printer, include the full UNC path to the printer, such as \\servername\printershare.

·         When printing, if the named printer cannot be found, you will be prompted to select a printer.

Changing or Deleting a Preparation Mode

A preparation mode controls the workstation’s behavior during dose preparation. A preparation mode is associated with a queue filter so that it is used only for doses that match its protocol.

What is a preparation mode?

In general, you usually follow this method for preparing doses:

1.     Select a product to prepare a dose.

2.     Prepare the product.

3.     Scan the label for the dose.

4.     Prepare the dose.

5.     Scan the dose label again to finish it.

6.     Repeat for each dose.

However, there may be situations where you would like to have different workflows such as:

·         Filling doses using MINI-BAG Plus™, where you don’t want to reconstitute the vial or transfer fluid into the container

·         Filling syringes, where you want to use all containers as multiple-dose containers and capture only a picture of the final dose container

·         Validating the product selection without validating the amount (such as doing batch processes where it is more efficient to scan in all the source containers, and then just make the doses or using it to track the issue of oral solids)

·         Making IVPB (Intravenous Piggy-Back) doses where you want the system to enforce using the IV solution with exactly the ordered amount or the smallest container that would supply exactly the ordered amount

·         Capturing only pictures (i.e., no barcode validation) of steps and products (such as you might do for a non-formulary medication prepared IV)


 

DoseEdge provides a way to separate out these alternate-method cases and indicate how they should be prepared.

·         A queue filter is created that organizes a group of doses to all be processed the same way.

·         A preparation mode is set up to describe how those doses get processed. Baxa Technical Support can set this up for you.

Each queue filter has a preparation mode, which dictates how the doses in that queue should be prepared. When a queue filter is selected at the workstation, the matching doses to be prepared in that mode appear. When you select a queue filter, the preparation mode is often displayed with a message explaining its requirements.

If a preparation mode is not specified for a queue filter, the default preparation mode will be used.


A preparation mode may require that:

·         A message appears informing that a different preparation mode must be used to prepare the doses in the filtered queue.

·         A certain procedure is used to prepare all doses in the filtered queue.

This can be used to override the default procedure associated with a dose. For example, the preparation mode procedure can override dose transfer steps in the preparation of a MINI-BAG Plus assembly.

·         A certain procedure is used to prepare all products needed for doses in the filtered queue.

This can be used to override the default procedure associated with a product. For example, for a product that usually requires vial reconstitution, the preparation mode procedure can override that procedure and instead require that a vial be reconstituted directly to a bag for doses in the filtered queue.

·         The product selected must be verified:

·         The product must contain only those drugs (in sufficient quantity) listed in the dose order. For example, only 50 mL IVPB is permitted to fill a 50 mL IVPB container.

·         For drugs, the selected product must match the drug amount listed in the dose order exactly.

This specification is best for preparing doses using MINI-BAG Plus (or similar) where the vial used must be an exact match.

·         For diluents and carriers, the selected product must match the diluent/carrier amount listed in the dose order exactly.

This is enforced only when there is an alternate, closer-match product available in the formulary. This specification is best for ensuring the correct carrier bag size is selected.


·         The product must contain only those drugs (in any quantity) listed in the dose order.

The dose calculations are not shown at the workstation.

·         The product is not verified against the dose order. Any active product defined in the formulary may be selected.

How do I change a preparation mode?

Do not create a preparation mode on your own.

Call Baxa Technical Support to create one for you.

Once created, use these instructions to make any necessary changes.

NOTES:

·         Baxa Technical Support must create a preparation mode for you to ensure that the data needed is captured during label processing.

·         If a Queue Filter does not specify a prep mode to be used, then the default (named “Default”) is used.

·         The default preparation mode should generally be the most restrictive.

·         Use the Queue Filter to exclude doses that should be made with the preparation mode.

 

WARNING!
Prior to using DoseEdge, review the default preparation mode to ensure that the appropriate behavior will be enforced at the workstation. Using a custom preparation mode changes the DoseEdge System behavior during dose preparation (usually to be more restrictive on the selection of diluent/carrier bags). Use great care in creating and selecting a preparation mode for use.

Configuring the Status Board

The status board shows to-the-minute information about doses and products. Just as a flight board at an airport shows the status of arriving and departing planes, the status board can be used to show doses as they move through the phases of queuing, preparation, approval and distribution. Use the status board to:

·         See doses at a glance that are waiting to be prepared or verified by a pharmacist

·         Identify quickly high-priority doses such as STAT and First Doses

·         Verify when a dose has arrived at a location

Example: The status board can display doses in the queue, being prepared, and awaiting verification. It can also show the tracking of doses as they depart the pharmacy, are received by the nursing unit and any returns. You can configure the status board to display the information that is most important to you.

How do I configure the status board?

1.     At the DoseEdge Management Site, click Status Board in the Site Configuration section.

2.     To set up a new status board configuration, click New.

To revise an existing setup, select the configuration from the list.

3.     Enter information in the fields. The required fields are shown in yellow.

·         Name: The name of the status board.

·         Timer Delay (Seconds): The amount of time that will page before showing the next page of the status board.

·         Member Of Group: Select the group you want to be able to view the status board, or leave blank for it to be viewed by all.

4.     To change an existing page, click Edit next to the page name.

c.     Change the priority of the Selected ScanEvents by using the Move up and Move down buttons.

Additional Groups

You can add more groups of ScanEvents to the Available ScanEvents. Click Add New group, enter a Title, and write a query for the group or call Baxa Technical Support for assistance.


Setting Up a User Account

Each person who will use DoseEdge needs to have a user account that they access using a unique User ID and password.  

How do I set up a user account?

1.     At the DoseEdge Management Site, click Users in the User Management section.

2.     View the list of users.

3.     To create a new user, click New. Enter information for the new user:

·         User Name

·         Full Name

·         Abbreviation (a shortened User Name used on reports and labels)

·         Email (optional) Click Send Test Email to make sure the address is correct.

·         Member of Group (select from the pull-down)

·         Active: Check to activate the user. An inactive user cannot log in.

·         Disabled: Check to prevent the user from logging in. Uncheck to enable the user to log in (for example, if the user was automatically disabled after too many login failures).

·         System Account (Never Expires): Check if the account should exist permanently (for example, for users who are the system administrator and label processor administrator). Click Save.

4.     You can change these fields:

·         New Password:

The new password:

·         Must be changed here if it has expired.

·         Cannot contain user name, parts of full name, or “password.”

·         Cannot be the same as any of the past five passwords.

·         May need to contain at least one uppercase letter, one number, and/or one special character (depending on the site configuration)

·         Confirm Password: Type the new password again. Click Change Password.


 

You cannot change the following fields:

·         Login Failures: The maximum number of attempts to log in that a user can make before the account is being disabled. The number of attempts is reset after a successful login.

·         Password Changed: The date and time when the password was last changed

·         Password Expiration Date: The date and time when the current password will expire

·         Password Expires in Days: The number of days before the current password will expire

·         Expired: Checked if the password has expired. The user will not be able to log in until the password is changed.

To set the defaults for these fields, refer to Configuring a Site in this guide.


5.     Select the email notifications this user will receive.

Select the email notification from the Available Email Notifications and click the right arrow. Repeat until you have selected all the notifications you want the user to receive.

6.     To prevent a user from receiving an email, select the Selected Email Notifications and click the left arrow.

7.     To change user information, select the user from the list, make any changes, then click Save.

Users cannot be deleted. Instead, uncheck the Active box to remove a user from current use.

Setting Up a Group

A group is a collection of users who all have the same permissions to perform certain tasks. Usually, groups are set up around job function. Example: A group of workstation users all have the permissions that allow them to perform their jobs, but not those that would change the configuration of the system. Those permissions might be assigned to a smaller group designated as the system administrators.

You can set up as many groups as you need. A group can contain any number of users. A user can belong to only one group.

How do I set up a group?

1.     At the DoseEdge Management Site, click Groups in the User Management section.

2.     View the list of groups.

3.     To create a new group, click New.

a.     Enter the Group Name and Description.

b.    Check Receive Email Notification when Formulary Updates Available if you want the users of this group to be notified when FormularyPlus updates are available.

c.     Assign permissions to the group. All users in the group will have the same permissions. Click on the permission to see its description.

Refer to Appendix A for a description of each permission.

·         Select a permission for the group from the Available Permissions and click the right arrow. Repeat until you have selected all the permissions you want for the group.

·         To remove a permission from a group, select it in the Selected Permissions and click the left arrow.

d.    When finished, click Save.

4.     To change a group’s settings, select the group from the list, make any changes, then click Save.

5.     To delete a group, select the group from the list and click Delete. Confirm the deletion.

You cannot delete a group if it has users in it. Reassign the users, then delete the group.

You can set up email notifications so that email will be sent to selected users when a specific event occurs.

How do I set up email notifications?

1.     At the DoseEdge Management Site, click Email Notifications in the User Management section.

2.     Review the list of email notifications on the next page.

3.     Select the email notification type you want sent when a certain event occurs.

NOTE: Some types of notifications require additional information, such as limits, about the event that triggers an email to be sent.

4.     Check Enabled to use the selected email notification.

Click Enable System Notifications to send all notifications when triggered. Tip! System notifications show 1 in the System column in the  list of notifications.

Click Enable Not Receiving Doses to turn on the notification that the interface to the pharmacy is down. This notification turns itself off automatically to prevent too many emails being sent while the interface is being repaired.

5.     Select users who will receive the email notification. Only users who were set up with an email address will appear on the Available Users list. All Selected Users will receive the same email.

·         Select a user to receive the email from the Available Users and click the right arrow. Repeat until you have selected all the users you want to receive the email.

·         Select a user to no longer receive the email from the Selected Users and click the left arrow.

6.     When finished, click Save.

7.     To delete an email notification, select the Type from the list and click Delete.

8.     To create a new email notification type, call Baxa Technical Support.

Installing the Prizm® Viewer

To review dose and product preparation images, the Prizm Viewer application must be installed on the Pharmacist CheckStation.

1.     On the PC that will be used as a Pharmacist CheckStation, log in at the DoseEdge Customer Portal.

2.     Click Download Files.

3.     Download and extract Prizm Viewerv7.zip or PrizmViewerv8.cab.

4.     Follow the manufacturer’s instructions to complete the installation.

NOTE: If an older version is already installed, answer Yes when asked if you want to uninstall the old version.

5.     To register the Prizm Viewer, ask Baxa Technical Support for a serial number and registration code.

6.     Select Start > All Programs> Accusoft > Prizm Viewer > File Associations.

7.     Uncheck Check file associations at startup and notify if mismatched.

8.     Click OK.
